What can an agent do with QuickBooks through MCP?

Through the local server an agent can read and change almost any QuickBooks Online record. Through the Claude and ChatGPT apps it reads reports and can create, edit, send and delete invoices and estimates, add customers and products, and (Claude, per Intuit) import transactions, edit the business profile and add or change employees.

Money

  • The local server's money tools (create_payment, create_bill_payment, create_deposit, create_transfer, create_refund_receipt) record QuickBooks entries: a customer payment, a bill payment, a bank deposit or an account transfer. None is documented as starting a bank payment.
  • Payment links collect money from your customers through QuickBooks Payments.
  • No hosted tool is documented as paying money out or running payroll.

Can

  • Run reports: balance sheet, P&L, cash flow, trial balance, general ledger, aging and sales (local); P&L, cash flow, balance sheet, AR aging, sales summaries and industry benchmarks (hosted)

  • Serve QuickBooks customers outside the US: Intuit says both the Claude connector and the ChatGPT app are US-only (per Intuit's help articles)

What access does it get?

The local server uses the QuickBooks Accounting scope on one company; the hosted apps act as the Intuit user who signs in, with unpublished scopes.

WhereScopes and permissions (as documented)Admin requirement
Local MCP server (open source)The source requests the Accounting scope (com.intuit.quickbooks.accounting); the README names none. All write tools are on by default; set QUICKBOOKS_DISABLE_WRITE, _UPDATE and _DELETE to true to remove them. You register an app on developer.intuit.com and sign in to the company. Intuit doesn't document which QuickBooks roles can authorise it.
Claude connector (hosted)Not documented by the vendor. Intuit sign-in to a QuickBooks Online or Intuit Enterprise Suite user. Without an Intuit account the connector works on CSVs, PDFs, images or pasted transactions you supply, per Intuit; those files go to Intuit's hosted server. Not documented by Intuit. Claude Team/Enterprise: an Owner adds connectors.
ChatGPT app (hosted)Not documented by the vendor. Sign in to QuickBooks Online and pick the company, per Intuit. Not documented by Intuit. ChatGPT Business/Enterprise: an admin must allow the app.

How do I connect it?

Use the Claude or ChatGPT app for questions and invoicing; use the local server for full ledger access, where every write tool posts directly.

  1. In Claude.ai, open Connectors, find QuickBooks and select Connect, per Intuit's help article. The listing is also at https://claude.com/connectors/quickbooks.
  2. Sign in with your Intuit account when prompted, then ask questions. New invoices, estimates, customers, products and imports go straight into QuickBooks, so open each review link and check the entry there. Intuit's help article says deletes and payment reminders wait for your confirmation. The Claude listing promises a preview before sends, which Intuit's help article doesn't describe for invoices, estimates or payment links, so keep Claude's per-tool approval on for send tools.

US QuickBooks customers only, per Intuit. Team/Enterprise: an Owner adds the connector first.

What should a finance team watch for?

Both versions write to the live books: the local server posts every write at once, and the Claude connector adds invoices, customers and imports at once, so the controls are the DISABLE flags, per-tool approval and checking entries in QuickBooks.

  • Local server: all write tools are on by default and post immediately, including payments, bill payments, transfers, journal entries and deletes or voids. Start with the DISABLE flags set.
  • Claude connector: per Intuit, created and updated invoices, estimates, customers, products, transaction imports and profile edits land in QuickBooks with no confirmation step documented, and imported transactions go straight into the general ledger. Only deletes and payment reminders are documented by Intuit as waiting for you; the Claude listing adds a general promise of a preview before sends. Keep per-tool approval on for qbo_sales_send_invoice, qbo_sales_send_estimate and qbo_sales_send_payment_link.
  • Intuit documents no confirmation for adding an employee, setting base pay, changing or deleting recurring invoices (qbo_sales_delete_recurring_invoice) or updating payment links (qbo_sales_update_payment_link).
  • ChatGPT app: Intuit's help article documents no preview or confirmation step for any action.
  • Production needs a public HTTPS redirect for the first sign-in; remove it afterwards. Refresh tokens rotate and lapse after 100 days unused, per the README.
  • Client secret and refresh token sit in plain text; keep them out of synced folders and version control.
  • The README says MIT; the repo's LICENSE file says Apache-2.0.
  • Payment links need QuickBooks Payments, which Intuit says isn't available in US territories or outside the US.
  • Files you upload to the Claude connector without signing in still go to Intuit's hosted server.
  • Memos, descriptions and uploaded files are free text. An injected instruction could push the agent to send an invoice, import transactions, record a payment, delete a record or change pay, so keep approval on.
  • For the hosted apps, Intuit says data stays within Intuit systems and is not used to train foundation models, and its Claude article says QuickBooks data is not used to train Claude. Tool results still go into your Claude or ChatGPT conversation, where the AI provider's terms apply. Intuit makes no data-handling statement for the local server, which passes QuickBooks data to your MCP client and its model provider.

How could finance teams and accounting firms use it?

Use the reports for questions and month-end review. The write tools fit drafting work, provided a person checks each entry in QuickBooks before anything is sent or relied on.

Inside a company

  • Ask for this month's P&L, cash flow or aged receivables without exporting reports.
  • Prepare an invoice or estimate in chat, open the review link to check it in QuickBooks, then send it yourself, or approve the send tool call in Claude.
  • List overdue invoices and prepare reminders that a person confirms before they go out (Claude).
  • Answer payroll questions such as who is on payroll or when the last pay run happened, without opening a report.

At an accounting firm

  • Pull a client's trial balance and general ledger for review with the read-only flags set (local).
  • Search bills and vendor credits for duplicates or miscodings before close (local).
  • Draft a reclass as a proposed journal entry in chat for a reviewer to post in QuickBooks.

Keep a person approving anything that changes the ledger, and treat AI-prepared figures as drafts until they tie to QuickBooks reports.

FAQ

Is this official?

Yes. The server sits in Intuit's GitHub organisation, the Claude listing names Intuit QuickBooks as developer (Anthropic verified), and Intuit documents both the Claude connector and the ChatGPT app.

Is it free?

Intuit states no separate price. You need QuickBooks Online (or Intuit Enterprise Suite for Claude) and a Claude or ChatGPT account; the local server also needs a free Intuit developer account, and payment links need QuickBooks Payments.

Does it write to my books?

Yes. The local server's create, update and delete tools post immediately unless you disable them. In Claude, Intuit says new and updated invoices, estimates, customers, products and imported transactions go into QuickBooks straight away; deletes and payment reminders wait for your confirmation. The Claude listing promises a preview before sends, which Intuit's help article doesn't describe for invoices, estimates or payment links. The Claude listing also shows tools to add employees and set base pay, with no confirmation step documented. For ChatGPT, Intuit lists the same sales actions and documents no confirmation step.

Is my data used to train models?

For the hosted Claude and ChatGPT apps, Intuit says data stays within Intuit systems and is not used to train foundation models. Data the apps return also goes to your AI provider, so check its terms. Intuit makes no statement for the local server; check Intuit's privacy statement and your AI provider's terms.

Can my accountant use it on my behalf?

Intuit doesn't document accountant access. Whoever signs in acts with their own QuickBooks access to the chosen company.
